Personal Travel and Upgrades

I understand that any fees incurred for personal travel are my responsibility. Should I desire to be booked on different flights, travel on different dates or include flights to different locations, I am responsible for the flight differential and agree to pay Greenheart Exchange the differential amount as soon as I am invoiced. If there is a flight differential, Greenheart Exchange will let you know prior to booking.

Greenheart Job Fair Terms and Conditions

1. Attendee confirms their authorization to make hiring decisions on behalf of the host company. Attendee understands that Greenheart Exchange considers the return of this form as an official confirmation of their attendance at the Greenheart Exchange Work and Travel Job Fair(s).
2. Attendee agrees to hire the number of participants originally committed to hire, at the Greenheart Exchange Job Fair(s), provided that there are enough qualified candidates. Should the attendee fail to do this, they agree to reimburse Greenheart Exchange $250 for each participant under the minimum amount hired. Upon conclusion of the Job Fair, Greenheart Exchange will invoice the host organizations, and will need to submit payment within three weeks of invoice receipt.
3. Attendee agrees if there is a volunteer opportunity, whether coordinated by Greenheart Exchange or otherwise, to follow directions given by the volunteer coordinator. Attendee agrees to hold Greenheart Exchange harmless from any and all liability, injury, and damages resulting from my experience as a volunteer.
4. Attendee agrees, upon request, to provide photos, marketing materials, interview preferences, and a PowerPoint presentation, to Greenheart Exchange at least three weeks prior to the Job Fair departure date in order to assist with the successful recruitment for the jobs being offered.
5. Attendee acknowledges that Job Fair participation and flights, may be subject to cancelation if the sending partner cannot recruit enough participants for face-to-face interviews.
6. Attendee acknowledges they must complete the seasonal Placement Agreement, as well as provide required documentation for Greenheart Exchange to review and approve the placement, by the specific deadline given. Attendee understands that delays with submitting required documentation may result in Greenheart Exchange not being able to book the flight or recruit the agreed upon number of Job Fair participants.
7. Attendee confirms they have received and read the ‘Traveling Host Organization Job Fair Timeline and Checklist’. Attendee agrees to follow all timelines and requirements outlined in this document.
8. Attendee agrees to follow the application requirements and fees within the recommended timelines, if this country requires a visa and specific passport validity requirements. Attendee understands they are responsible for their visa application and passport fees. Any trip cancelation due to delayed passport processing or passport validity requirement for the destination country will result in attendee reimbursing Greenheart Exchange the flight cost.
9. Attendee agrees to follow all guidelines outlined by the United States Department of State in the warning specific to my destination, if elected to travel to a country with a travel warning.
10. Attendee fully assumes all risks to person and property in connection with his or her participation in the Job Fair, including, but not limited to travel delays, property damage and loss, bodily injury, sickness, disease and death.
11. Attendee acknowledges their responsibility to determine what, if any, vaccinations are required for the Job Fair. The Attendee will check with a doctor or local public health clinic as soon as possible for the latest recommendations and will also check the Center for Disease Control website.
12. Attendee acknowledges the potential risk for contracting COVID-19 and/or other health related occurrences while traveling and takes full responsibility for any medical care, accommodations and expenses incurred if medical treatment is required and/or travel is delayed due to becoming ill or testing positive for COVID-19 and/or other health related occurrences. It is the Attendee’s responsibility to ensure their medical insurance coverage covers COVID-19 and/or other health related occurrences.
13. Attendee understands they are responsible for paying for any medical treatment administered that is not covered by insurance.
14. Attendee understands they are responsible for any additional expenses incurred if the attendee arrives in the country before the start of the Job Fair or stays after the Job Fair ends. These costs include transportation from the airport and travelling to the designated Job Fair meeting spot, unless otherwise stated.
15. Attendee understands if they cancel their participation in the Job Fair, after a flight is booked, that they are responsible for reimbursing Greenheart Exchange for all fees incurred with the flight cancelation. Standard protocol is that Greenheart Exchange books all Job Fair flights for travelers. If attendee wishes to book their own flight, the flight needs to be approved by Greenheart Exchange before it is ticketed, and this will only be considered on a case-by-case basis.
16. Attendee understands in the event of a non-emergency (e.g., transportation from the airport to hotel upon arrival), that they should contact Greenheart Exchange staff and the Job Fair partner first.
17. Attendee understands they are responsible for ticket change fees and upgrades and additional travel insurance (if elected) outside of published Job Fair dates.
18. Attendee understands they are expected to respond to flight quotes within 24 hours of email receipt. A delayed response may result in an increased flight cost that will be their responsibility.
