Supporting Participant Success: Best Practices for Host Organizations

A successful Intern or Trainee experience starts with strong host engagement. While participants are responsible for their own professional growth, host organizations play a critical role in helping them navigate a new workplace, culture, and training environment. By following a few simple best practices, you can help ensure a rewarding and successful program experience for everyone involved.

Maintain Regular Communication

Consistent communication is one of the most effective ways to support participants. Schedule periodic check-ins to discuss progress, answer questions, provide feedback, and address concerns before they become larger issues. Open communication also helps participants feel supported as they adjust to a new environment.

Keep Training Goals Front and Center

The DS-7002 Training Plan serves as the foundation of the program. Regularly review training objectives with participants, provide constructive feedback, and ensure day-to-day responsibilities continue to align with the approved training plan. Remember, Intern and Trainee participants are here for structured learning and professional development.

Encourage Cultural Exchange

One of the unique benefits of the BridgeUSA Program is cultural exchange. Invite participants to engage with your team, local community, and professional networks. Encourage them to share their own culture and experiences as well. These interactions create meaningful learning opportunities for both participants and staff.

Support the Transition Process

Starting a new role in a new country can be overwhelming. A little extra guidance during the first few weeks can make a significant difference. Helping participants understand workplace expectations, local customs, and available resources can contribute to a smoother adjustment and stronger overall experience.

Watch for Signs of Culture Shock or Stress

Even highly motivated participants can face challenges while adapting to life in the United States. Checking in regularly and creating an environment where participants feel comfortable raising concerns can help them stay engaged, confident, and successful throughout the program.

A Critical Reminder: Communicate Issues Immediately

If concerns arise with a participant, please contact Greenheart at [email protected] right away. Early intervention allows our team to provide support, clarify expectations, and work with all parties to resolve issues before they escalate.

Examples of concerns that should be reported immediately include:

  • Performance or conduct issues
  • Insubordination or refusal to follow workplace policies
  • English communication challenges affecting job performance
  • Written warnings or disciplinary actions
  • Potential or actual terminations
  • Any significant employment-related concern

Timely communication is essential to maintaining program compliance and ensuring participants have the opportunity to correct issues and remain successful in their training program.

Don’t Forget About Evaluations

Midpoint and Final Evaluations are a Department of State requirement and an important part of documenting participant progress. Evaluations also provide valuable feedback for both the participant and host organization.

Evaluation Requirements:

  • Programs lasting 6 months or less require a Final Evaluation.
  • Programs lasting longer than 6 months require both a Midpoint Evaluation and a Final Evaluation.
  • Both the Training Supervisor and the participant must complete their evaluations.
  • Electronic signatures are required for all evaluations.
